Process documentation your staff and your AI can both read

Verdin maps how your organisation works, from the whole company down to a single task. Each step names the role, the system and the policy. Staff read it without training, and Copilot or Claude can use the same source.

Change your processes faster, with less waste.

Set up the new site (Operations manager, Accountable), if site handed over, to Respond to repair calls. Respond to repair calls (Helpdesk manager, Accountable; system: Helpdesk system; has its own map), if job closed, to Invoice the client. Invoice the client (Finance manager, Accountable; system: Accounts system), if invoice paid, to Send the monthly report. Send the monthly report (Account manager, Responsible; system: Helpdesk system), if month closed, to Review the contract. Where the work goes wrong today

For operations, quality, project and IT leads. Most teams have one analyst or none, and no time for workshops.

  • Someone asks which expenses procedure is current. There are four copies on the shared drive, and none has a date.

    Staff stop trusting the documents and ask a colleague instead.

    One library people use
  • The only person who runs month-end payroll is off for two weeks. Nobody else knows the steps.

    When that person leaves, the knowledge leaves with them.

    One library people use
  • A new starter arrives. Nobody wrote down how to set up their accounts, so IT works it out again.

    The procedure lives with whoever did it last.

    Hand a new starter the map
  • A team lead says the procedure agreed last spring does not match what people do.

    It was decided in a meeting and never checked. Staff have no way to tell the owner.

    Feedback on the step itself
  • The auditor sends the evidence list.

    Collecting it takes your best people off their work, every time.

    A record for the auditor
  • You want Copilot to advise on your procedures. They are in Word documents written for people.

    An AI assistant needs structured, current steps. Converting the old documents is a project of its own.

What changes when every process has a current map

  • Your own team documents and improves its processes, without waiting for an analyst.
  • The knowledge stays with the organisation when a person is off or leaves.
  • Audit preparation becomes a check of a record you already keep.

One record for your people and your AI agents

A step in Verdin is structured: a verb, a role with its RASCI letter, a system, links and outcomes. Your staff read it on screen, and an assistant reads the same fields.

For your people

  • One library people use

    Every process, level, role, system and document in one place, with one search.

    Live
  • Hand a new starter the map

    They see who does each step, in which system, with the forms and policies one click away.

    Live
  • Feedback on the step itself

    Staff comment on the step that is wrong and suggest a change. The process owner reviews it.

    LiveTeam plan
  • A record for the auditor

    Every process has an owner, a revision history and published versions.

    Live
  • See where the effort goes

    Record hands-on time, elapsed time and runs per case on each step. Reports add up the effort for the whole process.

    Beta
  • Start from the documents you have

    AI drafts a first map from one of your documents. You check every box before you keep it.

Copilot and Claude can read and update your processes

The hosted Verdin MCP server lets them list, read, create and update your processes, and read your glossary.

Copilot calls get_process. Part of an example reply:

  "activities": [{

    "roles": [
      { "name": "Line manager", "rasci": "A" },
      { "name": "IT support", "rasci": "I" }
    ],
    "systems": ["Service desk"],
    "links": ["https://intranet.example/access-policy"]
  }],
  "flowlines": [
    { "outcome": "approved", "to": "Grant the access" },
    { "outcome": "rejected, with a reason", "to": "Raise the request" }

The server also offers list_processes, create_process, update_process and list_glossary_terms.

From the founder

I spent over a decade working on technology and change, across public and private sectors. Without question the highs and lows always happened in the context of how the company operated. How much time we wasted not knowing who the right people to speak are, how many decisions were made that didn’t include the right stakeholder, how many problems took months to find a solution simply because the person doing the work never had had the means to suggest it… All the Business Analysts working tirelessly to fight the entropy of the _V4_FINAL version documentation, and the new joiners sifting through the drafts.

I built Verdin to fix all of this. Visual documentation that takes minutes to draw, is legible to anyone, without training. Each process can show you owners, list the responsible roles on each steps, and systems used. Any viewer can contribute to the document whenever they use it.

It is also set up for the AI age: structured, legible data, an MCP server, AI assistant and much more underway.

Verdin is in early bird access. If you want help to map your first processes, or want to ask about early-access terms, email me.

Start with one team’s processes

Map a process in the browser in a few minutes. Share it with the team that runs it, and add the next process from there. Each map is stored as plain data, and your documents stay where they are, as links.
